Selling a configured sofa through Shopify checkout
Carry the selected fabric, frame, and finish into a reviewed quote, then send the customer the supported checkout link for the agreed sale.
The OrderPilot team·
The Madison sofa needs fabric, seat depth, arm, leg finish, and a cushion upgrade before anyone mentions throw pillows. Shopify's product options and a free-text cart note do different jobs: a note can describe a request, but the selling process still has to establish its price and complete specification.
OrderPilot's normal configured store-cart checkout is switched off, so the supported route here is an online configuration request followed by a reviewed quote and payment link. The useful result remains the same: the customer pays for the agreed piece, and purchasing receives the choices that define it.
Why isn't an unpriced cart note enough?
A cart note does not establish how a choice changes the price, cost, vendor specification, or timing. Someone must turn the note into a dependable offer before accepting the sale.
Say the example Madison is $3,000 before a $300 upholstery upgrade and a $200 cushion upgrade. Its merchandise price is $3,500. If a note merely says “premium fabric and cushions,” the store still needs to identify the exact values and charge the correct amount.
Use named choices that staff can recognize later. “Performance velvet, moss” should point to a specific offered material, not a general idea of green. The throw pillows can wait until the sofa itself has an identity.
The three-option-limit guide and product-modeling comparison explain the catalog choices behind this problem. The practical requirement is a specification that can be priced and carried forward.
What does the customer select on the website?
The customer selects from the template's online options inside the theme's own product page. Required values and combination rules help shape a coherent request. Swatches and image choices make the specification easier to recognize.
For the example sofa, ask for the dimensions or size, fabric, arm, and finish the vendor actually needs. Keep internal-only codes out of the customer presentation while giving them appropriate defaults in the template.
Where the presentation shows a price, the customer should know which configuration it describes. In Request a quote mode, the customer sends the choices for staff pricing. If Show lead time is enabled, the online options block can explain the option-related wait. The online-mode guide helps decide which presentation fits the range. The next step should match what the team can actually do with the request.
Can the request include an ordinary lamp?
Yes. The quote cart can combine configured pieces and regular Shopify products. A customer can request the sofa and a lamp together so the associate reviews the complete purchase.
For the running example, add a $100 lamp to the $3,500 sofa. The merchandise subtotal is $3,600 before delivery and tax. Staff then establish the complete quote according to the customer's destination and service.
That is a mixed quote-to-payment route. It should not be described as proof that the configured sofa and lamp can pass through the theme's normal cart as a self-service purchase. The quote-versus-cart comparison helps distinguish those customer actions without forcing every product into the same route.
What should staff settle before sending checkout?
Staff should settle the specification, price, delivery arrangement, and approval requirements before inviting payment. The Inbox is the handoff from the online choices into that review.
Check the example sofa's fabric availability and configuration. Establish what the customer means by any orientation term, and resolve dimensions or access questions that affect the sale. Add the delivery service and other charges to the quote with understandable names.
If the customer changes the fabric during the conversation, update the specification before sending the final offer. A payment link should follow the agreed version, not an earlier estimate. The customer can review and sign the settled terms where required. Keep the next action clear so the customer knows whether to answer a question, approve the quote, or pay.
Which payment route and Shopify plan fit the sale?
A full-balance payment link can use the supported Shopify checkout flow on any Shopify plan. Staff should check the order's readiness and payment access before sending it.
OrderPilot Admin deposit orders also work on any plan when enabled before placement; Shopify's native percentage deposit terms, POS Take Deposit, and minimum-deposit requirements need Shopify Plus. The deposit route is a separate payment arrangement, not a claim that the ordinary cart collects a configured sofa deposit.
For the example, the associate can send the agreed full-balance request once the sale is ready, or use the supported deposit arrangement the store has explained. Review the resulting payment before requesting any further amount.
No Shopify plan upgrade by itself changes the configured store-cart availability described above. The working quote and payment route lets the team complete the sale with the right record.
What does a Canadian customer see on a US-dollar quote?
An OrderPilot back-office quote is prepared in the shop currency. For a store whose shop currency is US dollars, keep that USD basis clear on the quote and payment conversation.
Don't promise that the supported quote becomes a multi-currency back-office order merely because the customer lives in Canada. If your store also uses Shopify's market and currency features for ordinary storefront purchases, test those separately from the OrderPilot quote route.
Ask staff to inspect the actual customer-facing payment journey before answering a currency question. The customer should understand the currency of the agreed amount before they reach the payment action.
What happens if the fabric price changes tomorrow?
The saved quote or order keeps its stored option prices when the template is repriced. A change in the catalog does not silently rewrite the amount already saved on that record.
For the running example, suppose the upholstery upgrade on the template changes from $300 to $400 the next day. The saved quote remains at its existing price. New work using the updated catalog needs its own review.
If the customer changes the agreed choices, handle that as a quote revision. A customer-facing change can require a new signature, while the earlier signed record remains available. Keep the specification and approval in step with each other.
The catalog-sync and configuration-stock guide explains the broader relationship between the template and the furniture sold.
Where does purchasing find the paid sale?
Purchasing works from the OrderPilot order record and the PO workbench. The configured line carries the selected options forward, allowing vendor POs to be organized without rebuilding the sofa from the customer's message.
Review the vendor, quantities, and destination before sending. If a selected material changes after the vendor discussion, bring that change back through the customer agreement rather than editing the purchasing record alone. Payment and purchasing are separate readiness checks. A receipt confirms money received; the team still needs the agreed specification and the approvals its process requires. Follow the configured sale to vendor PO for the downstream handoff.
What should the store test before offering this route?
Test the complete supported journey with sample data, including the surfaces that can bypass the main product page.
- Select every required option and try a combination the vendor does not offer.
- Review product cards and quick-add controls for routes that skip configuration.
- Submit the sofa and lamp together and inspect what reaches the Inbox.
- Prepare the quote and compare its choices and amounts with the showroom specification.
- Review delivery, timing, and custom-order terms in the customer journey.
- Follow the payment link through a test payment and inspect the payment history.
- Open the purchasing handoff and verify that the same configuration is available.
Settings › Online store contains the relevant selling and theme setup controls. Treat any separate store-cart installation as a product-readiness question, not a checklist a merchant can complete to unlock it independently.
The finished test should demonstrate a clear chain: selected sofa, reviewed offer, recorded payment, and usable purchasing specification. Start with the online-selling mode guide to put that chain in the right place on the website.
