Confirming POs placed outside OrderPilot
Keep phone, dealer-portal, and market orders in the same purchasing record, without sending the vendor a duplicate order email.
The OrderPilot team·
One maker wants an email. Another insists on its dealer portal. A third prefers a phone call to the same person who has taken orders since the showroom's first sofa arrived. Vendors have habits, and some of those habits have excellent memories.
OrderPilot can record a PO as sent when the purchase was placed elsewhere. Build the connected purchase, place it the vendor's way, then confirm it as sent without emailing. Receiving and the customer order can follow the commitment even when the ordering channel is a telephone or a market booth.
Create the purchase record before the goods arrive
The PO gives receiving something to compare with the shipment. It also shows which customer demand the goods cover, what remains outstanding, where the purchase should arrive, and which costs belong to it. A portal confirmation saved only in the buyer's downloads folder cannot do that job for the warehouse.
Start from the sold lines in the workbench for customer purchases. For stock bought at market, create the corresponding standalone purchase. The purchasing guide explains the difference while keeping both in one buying process.
Record the actual specification, quantity, vendor cost, and destination. If the portal forces a different choice or the rep quotes a changed amount, settle it before treating the outside purchase and the OrderPilot record as the same commitment.
Confirm the order that was actually placed
Say a buyer places an illustrative order for two oak chairs through a dealer portal. The connected OrderPilot PO contains the same chairs, quantities, costs, and ship-to. After submitting the portal purchase, the buyer compares its confirmation with that PO and confirms the PO as sent. Confirm as sent changes the record's status; it does not email the vendor. That distinction prevents an ordinary PO message from being mistaken for another purchase. The action still requires sending rights and the record must be in a supported state. It is a declaration that the vendor commitment already exists.
If the outside submission failed or the rep has only promised to call back, leave the record at the stage that reflects that uncertainty. A confirmation number or written answer is better evidence than a browser page that disappeared after the buyer pressed submit.
Attach the proof and explain its meaning
Save the portal confirmation or vendor document with the PO. For a phone order, record who took it, when the conversation happened, the vendor reference, and the details confirmed. A later emailed acknowledgment should join that record so the next person can find both the order and the response. Mark any unresolved point clearly. “Order taken; fabric availability to follow” should not become “everything confirmed” when another colleague reads the note. An outside ordering channel changes where the commitment was made, not the need to compare the vendor's answer.
You can email the PO later when needed. Make the purpose explicit: a copy for confirmation, a requested document, or a revision. The PO email guide explains how to keep that exchange attached to the purchase and avoid an ambiguous second order.
Receive it through the ordinary purchasing flow
A PO confirmed as sent can be received against like an emailed PO. Record the quantities actually received and rejected, keep the remainder outstanding, and identify units held for the connected customer order. The fact that the buyer used a phone does not change what arrived at the dock. The same sent-status path queues the PO for QuickBooks when purchasing sync is connected and enabled. Review its sync result rather than assuming that confirming as sent proves the accounting record was created successfully. Subsequent receiving and receipt bills follow the configured purchasing connection.
Use the furniture receiving checklist for the physical arrival. The supporting proof gives receiving a usable answer if the carton label uses the vendor's confirmation number instead of the store's PO number.
Bring market orders home as commitments
An order written at a show belongs in the purchase list whether or not a customer sale prompted it. Compare the rep's copy with what the store intended to buy, including show terms, shipping arrangements, and any requested dates. Then create or reconcile the PO and attach the evidence before another buyer unknowingly places the same order.
Keep a short closing checklist: matching purchase, proof attached, correct destination, sent status confirmed, next vendor response identified. Continue with the after-market purchasing plan to separate committed show orders from the pieces the team merely admired.
The ordering channel can change; the store's purchase record should still be complete.
