What is a purchase order acknowledgment?

The acknowledgment is the vendor’s response to your purchase order. Read it for the specification, price, quantity, and timing the vendor is actually confirming.

The OrderPilot team·

Chip places a blank envelope in a low mail tray at the back of a furniture store’s sunlit correspondence room.

You send the PO on Monday. On Thursday, the vendor returns a PDF that looks familiar, except the ship date has moved and “Fog linen” has become “Fog II.” A purchase order acknowledgment is the vendor’s response stating what it accepts or proposes to supply against your order.

Treat that response as a document to compare, not an attachment to file unread. The useful question is whether the vendor has confirmed the same furniture, price, quantity, destination, and timing your store intended to buy.

What does an acknowledgment confirm?

An acknowledgment should identify the PO and state the vendor’s response to its lines. That can include accepted quantities, prices, specifications, availability, and shipping dates, together with any exceptions.

The X12 Purchase Order Acknowledgment reference formalizes a seller’s response to a buyer’s PO and includes information for quantities, pricing, and dates. Furniture vendors may send the same kind of response as a PDF or email rather than an electronic transaction.

Do not confuse “we received your email” with “we accepted this specification.” A receipt notice confirms arrival of the message. Purchasing still needs the substance of the vendor’s answer.

What should you compare line by line?

Compare the acknowledgment with the PO sent from the sold specification, keeping the customer’s agreed choices nearby.

CheckWhat a difference can mean
Model and component codesA similar-looking piece has been substituted
Fabric, finish, size, and orientationThe vendor has recorded a different specification
QuantityA line is short, duplicated, or split
Price and extra chargesThe expected cost has changed
Ship date for each piecePart of the order will follow later
Destination and project referenceThe goods may be labeled or sent incorrectly

Read the notes as carefully as the main table. A sentence about backordered fabric can change the whole order even when the quantity column looks reassuring. The PDF’s calm typography is not evidence that everything is fine.

What does a useful review look like?

Say, in an illustrative order, the PO covers a sofa and 2 matching chairs. The acknowledgment confirms the sofa for May 5 but the chairs for May 26. It also describes the chairs in “Fog II,” while the PO specifies “Fog.”

The reviewer asks whether the cover is the same material under a renamed code or a different fabric, and whether the dates are factory ship dates. The store then decides what those answers mean for the customer’s delivery arrangements. A single note saying “May shipment” would hide both decisions.

Keep the original acknowledgment and the correction. Record when the vendor changed each date and why. That history is more useful than repeatedly replacing a date until nobody remembers the original commitment.

What if the vendor never sends an acknowledgment?

Set an expected acknowledgment time with each vendor and give purchasing responsibility for following up. There is no universal reply window that suits every maker or every type of special order.

Ask for written confirmation of the outstanding details, referencing the PO and affected lines. If the vendor confirms by phone, send a written recap and request confirmation. Until the answer is clear, avoid describing an unconfirmed production or ship date to the customer as settled.

The full acknowledgment guide covers how to make this review a regular purchasing task.

Is the acknowledgment binding on the vendor?

An acknowledgment can be evidence of what the vendor accepted, but its title alone does not determine its legal effect. The purchasing agreement, wording, changes proposed, and the parties’ responses matter.

Operationally, treat a changed price or specification as an issue to resolve, not something silently accepted because the PDF was saved. Ask the person responsible for the vendor agreement to review a disputed term before the store relies on it.

Who should review it?

Assign the first review to the person responsible for purchasing, with sales involved when a difference affects the customer’s choices or expectations. The reviewer needs the PO, the customer specification, and authority to raise discrepancies with the vendor.

Make the handoff explicit. Purchasing identifies the change; sales discusses customer choices; the approved answer returns to purchasing. A vendor’s offer to substitute a fabric should not reach production before the customer has agreed to it.

How does OrderPilot keep the response with the PO?

OrderPilot emails the PO with its PDF and can capture vendor replies and attachments on the PO when reply capture is configured. The team can open the acknowledgment where the purchasing conversation already lives. Staff compare the documents and resolve the differences. Unreceived lines can be edited after sending and the PO resent. A customer-facing specification change also needs to go through the customer order and signing process; it should not exist only in the vendor’s email.

For a changed date, continue with updating the order and telling the customer. A reviewed acknowledgment gives that conversation a clear factual starting point.
