Branded product spec sheets from Shopify's product page

Keep the dimensions, construction, and finish information with the product, then generate a sheet carrying the right store's branding.

From above, a print table holds blank stationery and wood samples while Chip straightens paper on a low cart nearby.

A designer emails after the showroom closes: “Can you send the Madison spec: seat height, COM yardage, cleaning code, on your letterhead?” Tomorrow someone will open the vendor PDF, find the right page, and begin rebuilding it. The sofa is made to order. Its basic dimensions shouldn't need to be.

Keep the product's fixed facts in its Shopify spec fields and generate a branded PDF through OrderPilot's Product Specification action. The location supplies the store identity. The product supplies the description, drawings, construction, and finishes that are actually recorded. A useful sheet begins with complete product data.

What should a furniture spec sheet answer?

A spec sheet should help someone understand the piece without the associate standing beside them. Include a recognizable image, a concise description, clearly labeled dimensions, construction information, and the finish choices or notes needed to judge the product. Each fact should come from the maker's information for that exact model.

Think about who will read it. A designer may need seat height and COM requirements. A delivery planner may need overall dimensions and a technical drawing. Service may need frame or cushion construction. Those readers have different jobs, but they all benefit from the same precise model identity.

Baymard's furniture research found that material and care details mattered to shoppers evaluating a piece. Translate that into a practical sheet: name the material and describe the construction instead of relying on “premium comfort” to explain the sofa.

InformationWhat makes it useful
Product image and modelThe reader can identify the exact frame
Overall and seating dimensionsUnits and measurement names are explicit
Technical drawingArrows connect each measurement to the correct part
StructureFrame, suspension, and cushion facts come from the maker
FinishesEach offered finish has a recognizable name and image
NotesCare, COM requirements, and material variation are stated accurately
Optional priceThe reader understands what the displayed figure represents

The custom-product data checklist is useful when those facts are still scattered across vendor files. Fill the gaps before making the sheet look polished; a handsome empty construction section still leaves the designer writing another email.

Where does OrderPilot get the information?

The sheet reads the product's spec fields in Shopify, including designer, finishes, dimensions, notes, structure, and technical drawing. Keep those fields attached to the product as maintained facts. If the vendor changes a dimension or revises a construction detail, update the source field and generate the sheet again.

Designer and Finish entries can live in Shopify metaobjects with a label and image. That makes a finish a reusable entry rather than an image copied into unrelated documents. A shared library helps staff select the same named material wherever that finish is used.

Give free-text notes a clear purpose. A verified COM yardage can be useful there when it applies to the product, but identify any conditions such as fabric width or repeat. A generic sentence shouldn't imply that every customer-supplied material needs the same quantity. Keep the vendor's original requirement available for the actual order.

Care wording needs the same discipline. A fabric cleaning code belongs to the selected upholstery or a clearly identified fabric, not automatically to every fabric available on the frame. Separate fixed product facts from information that changes with the customer's choices.

How does the Shopify product become a branded PDF?

The Product Specification action opens from More actions on the Shopify Admin product page. Staff choose a location, generate the sheet, and download the PDF. That location determines the brand and logo used on the document, so selecting the correct location is part of preparing it for the recipient.

The action works with Shopify products, including the Shopify product associated with an active configurable template. For a made-to-order template, populate the product's fixed spec fields rather than assuming a generated product automatically has every maker detail filled in.

Staff need authorized Shopify Admin access to the product and action. Generating a sheet is separate from editing the product's facts or changing the document design. Give the catalog owner responsibility for the data and let the team use the checked document in sales conversations.

What does a useful sofa sheet look like?

Consider an illustrative Madison sofa with overall dimensions of 84 × 38 × 32 inches and a seat height of 18 inches. Its sheet should identify which figure is length, depth, overall height, and seat height. Put those labels on the drawing as well as in the written specification.

Baymard's dimensions-image research found that people could struggle to connect text dimensions with the correct parts of furniture. A drawing resolves that ambiguity more directly than a paragraph asking the reader to imagine where each measurement begins.

Read the exported PDF at a comfortable page size. Finish labels should remain legible, the technical drawing should show its measurement arrows, and the main image should depict the same frame. Don't use a different arm style merely because its photograph fits the page better.

Can the store change the design or hide the price?

OrderPilot has spec-sheet design controls for image placement, specification columns, finish layout, and the visibility of content such as price or drawing. These advanced controls sit behind staff-enabled PDF theme access, so they are not a self-serve design feature available to every merchant. Your store can still maintain the product facts and its ordinary brand and location information.

The available design families include Standard, Atelier, Gallery, Ledger, Studio, Heritage, Nordic, Compact, and Proposal. Treat the selected design as a consistent house style. The best choice is the one that leaves the furniture and technical information readable, especially when the drawing is dense or finish labels are long.

For a trade sheet without pricing, have the sheet's price visibility configured accordingly and inspect the generated PDF before sending. The sheet shouldn't accidentally present a base figure as the complete price of a configured sofa. Put the customer's agreed configuration and commercial terms in the quote.

How does a multi-brand showroom choose the right identity?

Choose the location associated with the brand presenting the product. The same product can then be generated under the appropriate location's identity without recreating its technical facts. Use the process in multi-brand documents when the store operates distinct customer-facing brands.

Match the identity to the rest of the customer's paperwork. The brand-consistency guide covers how quotes, messages, and customer pages can look like they come from the same store. The spec sheet should be another recognizable part of that conversation.

Can the sheet go with the quote?

Download the sheet and send it alongside the quote when the customer or designer needs it. Don't assume it attaches automatically. Check that the attachment is the correct product and location version, and explain whether it describes the frame's fixed facts or a particular material shown in the image.

The quote carries the customer's selected fabric, finish, size, and price. The PO carries the manufacturing specification purchasing sends to the vendor. The spec sheet supports understanding of the product; it doesn't replace either transaction document. When a custom dimension differs from the standard drawing, call out the agreed dimension on the quote.

What should the team check before sending?

Use a short review that follows the recipient's likely questions. Can they identify the frame, understand its size, find its construction, and recognize the relevant finishes? Is any care or COM information tied to the correct material? Does the location and price treatment suit this recipient?

Keep a named owner for those product fields and refresh the sheet after source changes. For a product that still needs its facts assembled, work through the custom-product data checklist before the next late-evening request arrives.
