Why aren't estimated charges on my QuickBooks bill?

In the appSettings and integrationsUpdated 3 Nov 2026

Short answer

OrderPilot holds estimated charges out of QuickBooks until you mark them final.

Confirm the actual charge and finalize it before expecting the purchasing sync to include it. Check the purchase order's QuickBooks card afterward.

Receipt bills and later corrections follow the recorded purchasing work, so an estimate alone isn't a posted charge.

Why is By weight greyed out when I add a charge?

By weight is unavailable because purchase orders do not record unit weights. Choose By value, By quantity or Manual instead.

A value split needs known vendor costs; a manual split needs all shares to add up to the charge. Check the allocation preview before saving.

Why are costs still estimated after all goods arrive?

Receiving every unit does not make costs final if a relevant charge is still marked Estimated. Review the confirmed bill, edit the charge, choose Final, and save.

Missing vendor costs must also be filled in. Finalizing the PO is a separate action from confirming the actual amounts.

Can I charge duty to one option instead of the whole sofa?

Yes. In Add charge, choose Specific items or options and select the option the charge covers.

Review the allocation and Landed / unit before saving. Assigning a charge to a fabric option changes that option's cost without spreading it across the rest of the sofa.

What should I do when a customer opens a chargeback?

Use Place legal hold to protect the order's signature evidence, then download the signed agreement and evidence from Signature history. Enter a reason when placing the hold.

OrderPilot does not detect card disputes automatically, so staff must place the hold themselves. Managing holds needs Export and hold signature records.
