I changed the status map and nothing happened. Why?

In the appStatuses and workflowUpdated 2 Nov 2026

Short answer

Status-map edits stay in a draft until you Publish, and publishing does not immediately move existing orders.

Orders follow the new map from their next relevant change. After testing and publishing, use Check N open orders now if you want the published rules applied immediately; that check sends no emails.

I changed a status by hand and the customer got an email. How do I stop that?

Turn off Send status emails when staff change a status in SettingsMessages & notificationsSending settingsEmail & SMS rules. The rule covers staff changes on the order page, Next status, POS, and bulk changes. OrderPilot's automatic moves can still send emails.

Manually sent emails and status text messages are separate.

I changed my Shopify theme's colors. Does OrderPilot follow?

No. OrderPilot reads theme branding during installation and does not continually follow later theme changes. Choose Update from theme in Branding, select the values you want, click Use these, and save.

Values you set yourself start unticked. The import does not replace your email templates or PDF themes.

Can two statuses send the same email?

No. An email group can be assigned to at most one status. To use the same design for another status, copy the template into a separate group and assign that group's status.

Check the group's sending line afterward; moving a status assignment changes which group sends for that status.

Does turning off status emails also stop text messages?

No. Send status emails when staff change a status controls those emails, while status text messages use separate settings. To stop customer texts, turn off Send customer text messages in Email & SMS rules.

Turning that switch off also cancels queued texts. Check each status's SMS template when reviewing which updates customers receive.
