Statuses and workflow
- Can I rename built-in statuses? No. Built-in statuses keep their names and cannot be deactivated or deleted.
- Is there still an Approved status? No. The former Approved status has been folded into Order.
- Which statuses change on their own?OrderPilot can move statuses after saving, review decisions, placement, purchasing, shipping, delivery and Shopify cancellation.
- Can I delete a status that orders are using? No. Move all current orders out of a custom status, remove its map connections, and publish that map change before deleting it.
- How many statuses can I have?OrderPilot allows up to 50 statuses and 50 customer groups, including supplied ones.
- I changed the status map and nothing happened. Why?Status-map edits stay in a draft until you Publish, and publishing does not immediately move existing orders.
- I set a status by hand and it moved again later. Why?A manually chosen status holds until information used by its connections changes.
- Why is a Next status option greyed out?A greyed Next status choice is waiting for its trigger or conditions, such as a signature, full payment or every PO item arriving.
- Why do some statuses read Pending Quote or Draft Order?Pending Quote and Pending Order are display names for Pending Review, based on whether the record is a quote or order.
- Cancelled in Shopify didn't move my order. Why?An older store may lack the supplied Cancelled destination and its automatic route.
- What does Order statuses are paused mean?Order statuses are paused means automatic status movements and automatic status emails are temporarily paused.
- Why doesn't a status have a tab on the Orders list?A status gets a list tab only when at least 1 record in that list's scope uses it.
- Can customers see my internal statuses?Hidden internal statuses are not shown, but a visible status without a customer group can appear on the customer's order page.
- Can my own connection move orders into a built-in status such as Ready to Ship?Yes. Your connection can move an order into any active status, including a built-in status such as Ready to Ship.
- How many earlier versions of the status map can I see?Version history lists the latest 100 published maps, with the running version marked Live.
- Why is Next status missing on my order?Next status appears only after your store publishes a status map.
- Does Test on an order change the real order or send emails? No. Test on an order predicts what the selected map would do without moving the order or sending email.
- Why did receiving stop moving an order after I added a custom status?OrderPilot's built-in purchasing connections do not automatically start from a status you created.
- Why did an order change status without emailing the customer?Status movement and email sending have separate rules, and many automatic moves are deliberately silent.
- Can a workflow add a tag without changing the order status?Yes. Choose Runs without moving under Then, and add the required action, such as Add an order tag or Add an activity note.
- Does Flag a replacement PO create a purchase order automatically? No. Flag a replacement PO for rejected lines adds an activity note identifying the rejected lines.
- Which connection runs when an order matches more than one?The first matching connection in the map's evaluation order wins.
- Why does the customer see the same milestone after a status change?Statuses in the same customer group share its name and message, so moving between them does not create a new customer milestone.
