Why does POS say the product is already on the order?

On Shopify POSQuotes and ordersUpdated 2 Nov 2026

Short answer

The selected product is already represented by a line on the order.

Open that existing item and change its quantity instead of adding it again. The same rule applies when a barcode scan finds a product already added to the sale.

Will new product terms change an already signed quote?

No. A signed quote keeps the wording frozen when the customer signed it.

Updated category or product terms appear in current unsigned documents. If a customer-facing edit requires a new signature, the next agreement uses current wording, while the previous signed version stays available in Signature history.

Do categories decide which options a product shows?

No. A template's options and bundles determine which choices it offers.

Categories group templates, set their Shopify product type, and carry warranty, terms, signature, deposit and commission rules. Assigning Linden Sofa to Sofas does not automatically add Fabric or Cushion Fill.

Does deactivating or deleting a template delete its Shopify product?

No. Deactivating a template archives its Shopify product, and deleting an unused template also archives the linked product. Existing orders, purchase orders and stock can still refer to its variant.

Stock or purchasing records can prevent template deletion; deactivate the template instead. Shared option products remain unchanged.

Can I edit a template's product directly in Shopify?

Change a template's managed product fields in OrderPilot, because the next sync can overwrite edits made directly in Shopify. Update the template's price, product type and option data in OrderPilot, then save. An active template queues another sync so its Shopify product receives the changes.
