Does a quote need to be signed before it becomes an order?

Quotes and ordersUpdated 2 Nov 2026

Short answer

A signature is required when your shop's or template's rules require one.

In the app, authorized staff can use Place anyway or Force Convert to Order for an eligible exception. Bypassing needs Bypass signature and deposit requirements plus the permissions for that action, and the exception is recorded.

Check requirements before continuing to payment on POS.

Can a rejected quote be signed?

No. A rejected quote cannot be signed; the customer sees This Quote has been rejected and can no longer be signed. Check the quote's rejection and resolve the underlying record issue before arranging approval.

Sending the same link again doesn't make the rejected quote available for signing.

Can I edit a quote after the customer has signed it?

Yes, you can edit a signed quote in OrderPilot, but customer-facing changes can require a new signature. Changes to products, options, quantities, prices, fees, shipping or discounts can show Re-Sign.

Save the changes, check the badge, and send a new signature request. The earlier signed agreement stays in Signature history as Superseded.

What happens to signed quotes if I uninstall OrderPilot?

Export your signature records before uninstalling OrderPilot. In SettingsAccount & dataSignature records, choose Export everything, then download and check every export part.

Evidence is retained for 6 months beyond shop-data erasure after removal. Keep your own verified copies instead of relying on an export email after uninstalling.

How long does OrderPilot keep signed quotes?

OrderPilot keeps signature records for 7 years by default; you can choose a whole number from 1 to 30 years. The period starts from the latest signature, payment, delivery or pickup.

Orders with an outstanding balance, undelivered items or a legal hold remain protected. Choose whether to delete files and signer details afterward or Keep everything.
