Why didn't my Shopify inventory change after receiving?

Short answer

Check the PO's stock-update message, the receiving location, and Shopify's Reserved quantity as well as Available.

Customer-linked template units are held for the order, so they may not increase available stock. If the PO shows Stock not updated in Shopify, correct the listed error and use Retry with Receive items permission.

Should I track inventory for every fabric or finish option?

Track an option only when you buy and hold its values separately from the main product. A tracked value becomes its own Shopify line and purchase-order row.

Leave tracking off when Fabric or Leg finish only describes the piece the vendor makes. Dropdown, Swatch and Number support the documented tracking workflow; Dimensions cannot track stock.

Does receiving the vendor delivery mark the customer's items delivered?

No. Receiving records that the vendor's goods arrived; customer handover is a separate event. When eligible, paid items actually leave, use Mark collected or Mark delivered for the relevant units.

Those units move to Taken, and Shopify fulfills the handed-over lines.

Can customers request a different fabric after receiving their quote?

Yes, customers can request a fabric change or ask a question through the OrderPilot portal, available from Growth. Staff review the request and accept, offer an alternative or decline it.

The request does not change the order automatically. Open questions or changes can block signing until the team resolves them.

Why did receiving stop moving an order after I added a custom status?

OrderPilot's built-in purchasing connections do not automatically start from a status you created. Add an outgoing connection from that stage using the appropriate receiving condition, such as All PO units are received. Choose an active destination, test a representative order, then publish the map.
