Catalog
- What is the difference between options and order fields?Options describe a product line and can add to its price; order fields collect information once for the whole quote or order.
- How many levels deep can categories go?OrderPilot categories can go 3 levels deep, with up to 500 categories including subcategories.
- Do categories decide which options a product shows? No. A template's options and bundles determine which choices it offers.
- What happens to my templates when I delete a category?Deleting a category removes that category from its templates; the templates themselves remain.
- Can I delete an option? No. Archive an option through More actions > Archive option instead.
- Can I change an option's type after creating it?Yes. Open the option, change Type, and save.
- Why can't I reuse an option name?Option names must be unique across your store's options, order fields and archived options, regardless of capitalization.
- Why can't I add more values to an option? An OrderPilot option can hold up to 500 values.
- Why can't an order field be a Dimensions option?Dimensions is available for product options only, because each set of measurements belongs to a product line.
- Why is my Dimensions option a text box?The option named Dimensions supplied when OrderPilot is installed is a Text option.
- Why is On hand read-only on an option value? On hand is read-only because a tracked option's stock is counted in Shopify across your locations.
- Why does an option value show Included?Included means the option value adds $0 to the template's base price.
- Do bundle changes change my template prices? No. Bundle changes do not replace prices, costs or lead times set on a template.
- Does Match bundle unlock an option? No. Match bundle copies bundle settings while keeping the option locked.
- Is Required set on the option or on the template?Set When ordering to Required or Optional on the bundle or template.
- Does lead time print on the quote or the purchase order? No. OrderPilot's calculated lead times do not appear on quote PDFs or purchase orders.
- Why can't I see my template in Shopify?A draft template is not sent to Shopify; save it and click Activate when it is ready to sell.
- Does deactivating or deleting a template delete its Shopify product? No. Deactivating a template archives its Shopify product, and deleting an unused template also archives the linked product.
- Can I edit a template's product directly in Shopify?Change a template's managed product fields in OrderPilot, because the next sync can overwrite edits made directly in Shopify.
- Why does a template read No vendor? No vendor means the template has no available vendor, including when its assigned vendors are inactive.
- Why can't I delete a template?Stock or purchasing records use the template, so OrderPilot keeps it to preserve those links.
- Why is Activate greyed out on my template?Save or discard the template's unsaved changes before clicking Activate in the header.
- Why is my template's Shopify product type "Living room › Sofas"?OrderPilot sends the category's full path to Shopify as the product type, so Sofas under Living room becomes Living room › Sofas.
- Why is my export missing the cost columns?Your role does not have View costs, so Export without costs omits Base cost, Value cost and Cost override.
- Why did my import skip rows?Existing records are skipped when Update existing templates, options and values is off.
- How do I remove OrderPilot's data from Shopify before uninstalling?OrderPilot has no pre-uninstall button for removing its Shopify catalog data.
- Can I add a composition on POS?No. Compositions can be added as a set in the OrderPilot app only.
- Can I delete a vendor? No. Open the vendor at Settings › Purchasing & accounting › Vendors, turn off Active Vendor, and click Update Vendor.
- A vendor appeared that I never added. Where did it come from?OrderPilot creates a missing vendor when someone chooses a Shopify product with that vendor on a quote.
- Why did my vendor's display name change back?Matching a vendor with Shopify can reset Display Name to Shopify's spelling.
- What is a percentage fee worked out on?% of subtotal uses the product subtotal; % of total uses products plus other fees.
- Why can Freight be added only once?OrderPilot allows each supplied fee—Tariff Surcharge, Freight and Installation—once per order in the app.
- Can a fee be $0?Yes, a saved fixed fee can be $0, including the supplied fee presets.
- Why doesn't my order field show on the online quote request?Online quote requests show only active order fields whose Location visibility is All locations.
- Do vendor minimums stop me creating a purchase order? No. You can save a draft purchase order below the vendor's minimum.
- Why can't I choose options on a line that was added in Shopify admin?Products added through Shopify admin or native Shopify POS arrive in OrderPilot as plain product lines.
- What is the difference between a template's Category and its Tax category?Category is OrderPilot's grouping; Tax category is Shopify's product category for category-based tax rates.
- Where do I set a vendor's build and transfer times?Set vendor build and transfer times at Settings › Purchasing & accounting › Vendors.
- Why does a line say about 8 weeks instead of the exact days?OrderPilot shows rounded weeks for lead times of 14 days or more, so the estimate reads like a vendor's usual timeframe.
- Can an option rule depend on a Swatch option?Yes. An option rule can depend on an earlier Swatch or Dropdown option.
- Why does my template say Rule ignored?Rule ignored means the rule's controlling option is missing or no longer a Dropdown or Swatch.
- If I change or delete a saved fee, do orders that already have it change? No. Existing orders keep their own copy of a saved fee's name, amount and settings.
- Do catalog price changes update quotes I already saved? No. Saved quotes and drafts keep their recorded option prices and labels when the catalog changes.
- Can a Dimensions option calculate a price from length and width? No. A Dimensions option adds one flat charge when a size is entered; it does not multiply length, width or area.
- Should I track inventory for every fabric or finish option?Track an option only when you buy and hold its values separately from the main product.
- Why is a new option value missing from my template? The template may be set to Added but not offered, so new shared values are added without becoming selectable.
- Can I hide option combinations my vendor can't make?Yes. Option rules can hide a whole option with Only when…, or limit its values with Narrow the values by another option: a wood choice, for example, can limit the finishes offered.
- Does duplicating a template make the copy available to sell? No. Duplicate template creates a draft with (copy) after its title and keeps the copy hidden online.
- Can I put frequently sold templates at the top of the product picker?Yes. Open the template's row menu in Products and choose Pin to top.
- How do I update template prices by CSV without clearing other details?Remove columns you do not intend to update, and keep the existing template handles.
- How many templates can I import in one CSV?A template import can contain up to 200 templates, within a 15 MB file and 400,000 rows.
- Why does a template say Live while its Shopify pictures are missing?A picture failure does not fail the whole template sync, so Live can appear before every image reaches Shopify.
- Does restricting a template to one location hide it from the online store? No. Who can add it controls staff and POS availability, while online publication has separate settings.
- What images can I upload for an option value?Option values accept PNG, JPG and WebP images up to 5 MB each.
- Do composition pieces stay grouped after I add them to a quote? No. A composition adds normal Shopify product lines, each with its own quantity, price and stock.
