Change status or tags on many orders at once

3 min readUpdated 31 Oct 2026Advanced

Select several quotes or orders to add tags, remove tags or move them to one status. Filter the list first so the selection matches the job.

Bulk actions still follow your permissions. Access to the list does not mean you can change every record it contains.

Before you start

Find the right records

Use Find quotes and orders to narrow the location, salesperson, payment state and other filters.

Check tag access

Adding or removing tags needs Create and edit quotes and orders.

Check status access

Moving records needs Change order status. Review and conversion actions can need additional permissions.

Row checkboxes appear only when your role has at least 1 bulk action. Check the selected customer names and record numbers before opening an action.

Add or remove tags

  1. Step 1: Select the records

Open Quotes or Orders, apply your filters and tick the required rows. Confirm that each selected sale belongs in this batch.

The bulk action bar appears. The selected count tells you how many records the action will affect.

Check the selected records before using the bulk bar.
  2. Step 2: Choose the tag action

Click Add tags or Remove tags. For adding, review Add tags to N orders? and its count.

Search under Search to find or create tags. Choose an existing tag, or use the offered Add option to create the entered tag.

  3. Step 3: Save the tag change

Check the selected tags and click Save. For an addition, Tags added to N orders. confirms completion.

Use the tag filter to inspect the resulting records. A tag is useful only when the label consistently describes the records carrying it.

Change the selected status

  1. Step 1: Select the matching group

Tick only the records that should move to the same status. A paid order and a received order are not necessarily ready for the same move.

Read How order statuses work if you need to distinguish the stages your shop uses.

  2. Step 2: Choose the destination status

Click Change status and choose the intended status. The menu lists the shop's statuses, with the draft entry shown as Draft Order.

Hover over a greyed option to read the blocking reason. Leaving review can need Approve, reject or request changes; conversion can need Convert quotes to orders.

  3. Step 3: Confirm the move

Read Change order status, including the record count and destination. Confirm only after both match your intended change.

The completion toast reports how many orders were updated to that status. Review the resulting list before moving to another batch.

What happens next

Tags become available for filtering immediately. Changed statuses appear on the records and in their activity histories.

Change an order's status covers a single-record move. Use that route when a sale needs individual investigation before it changes stage.

Example: tag a showroom event

Example · Harlow & Finch Interiors

Group the sales, then narrow the status move

Nora Ellis identifies event orders for Olivia Bennett, Marcus Reed and Priya Shah.

  1. Nora filters the Orders list to the relevant paid sales.
  2. Nora ticks the 3 records and adds “showroom-event.”
  3. Nora checks that all 3 received the tag.
  4. Nora selects only the 2 records whose goods have arrived.
  5. Nora checks their readiness before choosing the appropriate shop status.

The tag records where the sales came from. The smaller status selection reflects which orders have reached the next stage.

If something goes wrong

There are no row checkboxes

Your role has no available bulk action. Ask an administrator to review the relevant permission.

The destination status is greyed out

Check review or quote-conversion permission, then read the hover reason.

Some records were not changed

Check whether they fall outside your role's change scope. Review each remaining record before trying again.

A tag is too long

Shorten it to the limit reported in the message.

A record has too many tags

Remove an unnecessary tag before adding another.
