Choose which Shopify locations your OrderPilot subscription covers. Staff can still view the locations and records their roles allow, while actions require the relevant location to be subscribed.
Changes to covered locations take effect after Shopify confirms them. Your current subscribed locations remain usable while approval is pending.
Before you start
Review initial setup
Start with Install and set up OrderPilot for a first subscription.
Check billing access
Changes need Manage billing. The store owner always has this access.
Include working locations
Cover showrooms and warehouses where staff sell, receive, or carry out other location-based actions.
The subscription covers the selected locations on its billing cycle. Review the amount presented by Shopify before approving; this guide doesn't set subscription prices.
The dedicated made-to-order location is free for Order New while the store has an active subscription. It isn't a free selling or receiving location. See Order New and floor stock.
Actions that need a subscribed location
Location access covers creating and editing quotes and orders, customer messages and reminders, fresh PDFs, receipts, and signing QR codes.
It also covers purchasing, receiving, held-stock moves, and warranty repair visits.
Your role still controls which actions you can perform. Subscription coverage doesn't grant a missing staff permission.
Change your plan or locations
Step 1: Review the subscription
Go to SettingsAccount & dataSubscription. The card shows your plan and its price, the next bill, how many locations are on the plan, what the plan includes and what the next plan adds.
Step 2: Open Manage plan
Click Manage plan (or Change locations). It opens full screen, with the same plans and location blocks as the install page. Your plan says Current plan, and each location on it says Subscribed.
Step 3: Pick the plan and locations
Pick another plan, switch Monthly or Yearly, or tick and untick locations. Blocks you add say Adding, blocks you remove say Removing, and the total bar shows the new price beside the old one. A plan that covers fewer locations than you've ticked is greyed and says how many to untick.
Step 4: Approve the change
Click Continue to Shopify and approve the new price on Shopify's page. A smaller plan or a removed location asks once first, in Review your change. Your plan stays as it is until you approve; swapping one location for another at the same price takes effect straight away (Update locations).
Warning
Removing a location cancels its scheduled sends
Messages scheduled for that location stop when it is removed. Its quotes and orders stay, but your team can't start new ones there.
A deleted or inactive Shopify location comes off with your next change. Manage plan lists it above the plans.
Pending location changes
Finish or end a pending change
Subscription change pending offers Continue Shopify approval, Check status, and End pending location change. Use Continue for an approval still waiting in Shopify.
Ending the pending change asks End pending change or Keep request. It ends only the unconfirmed request; the current subscription remains. An already approved change cannot be discarded this way.
Fix Location subscription required
Step 1: Read the location reason
Hover over the unavailable action. The reason identifies the unbilled location or pending billing change. Location subscription required can appear on a quote, order, or purchase order.
Step 2: Complete the location setup
Use Manage plan to add the location, or finish its pending approval under Subscription. After approval, return to the record and check the action again.
If Shopify made the location inactive, choose an active billed location. If no location is billed, add one before attempting the action.
Step 3: Move an order when appropriate
On an order, Move to a billed location lets you choose a subscribed location. This changes the order's location; review that choice against where the sale belongs.
The made-to-order location is only for Order New commitments. Choose a subscribed location for selling, receiving, transfers, or repair work.
Customers see neutral availability messages instead of billing details. A signing failure may say Signing is temporarily unavailable. Please contact the store.
Check access on POS
Receipts and signing QR codes also require location access. Ask someone with Manage billing to check the subscription in the OrderPilot app.
Cancel your subscription
Step 1: Save the records you need
Download necessary documents before cancelling. For signature evidence, follow signature records. Read data and uninstall behavior before deciding whether to remove the app too.
Step 2: Review cancellation
Under Subscription, click Cancel subscription. Read Cancel your subscription?, including the effect on the whole store and pending billing requests.
Step 3: Confirm or keep the subscription
Click Cancel subscription to proceed, or Keep subscription to leave it active. Confirmation explains that Shopify handles eligible unused-period credits.
Warning
Cancellation stops normal access immediately
The entire shop returns to the subscription screen, and scheduled emails and texts stop. Restoring access requires a new Shopify approval, and previous promotional terms may not return.
Unticking every location on Manage plan turns its button into Cancel subscription, which opens the same confirmation. It isn't a way to keep the app active with no covered locations.
What happens next
Newly added locations support actions once Shopify approves. Cancelled subscriptions restart from the initial subscription screen when you subscribe again.
Stores carried into location-based billing begin with their active locations enrolled. Review the current list rather than assuming a warehouse was excluded because nobody selected it recently.
Example: add Harlow & Finch's warehouse
Example · Harlow & Finch Interiors
Enable receiving at Warehouse
Nora Ellis finds Warehouse missing from the subscription.
- Jo Park can view its PO, but receiving is unavailable.
- Nora opens Manage plan and ticks Warehouse; it says Adding.
- She checks the new total, then approves in Shopify.
- Jo returns to the PO and receives at Warehouse.
- Nora checks the updated location summary.
If something goes wrong
Update plan is greyed

Billing could not be loaded
Use Try again.
Subscription status needs verification
Use Check subscription status and contact support with the displayed subscription IDs if unresolved.
Billing couldn't be checked
Retry shortly; the refused action wasn't completed.
Cancel is unavailable
