Turn an online request into a priced quote your customer can review. Check every line, assign the sale and send the quote when its prices are ready.
A new request is not necessarily a finished offer. Regular Shopify product lines arrive unpriced, and the customer cannot sign or pay while the request is Being priced.
Before you start
Understand the request
Check editing rights
Editing needs Create and edit quotes and orders. Setting prices needs Override prices and give discounts.
Check ownership and sending rights
Assignment needs Reassign quotes and orders. Sending customer email needs Email customers.
New storefront requests are unassigned. Choose who should handle the quote rather than assuming the customer already has a named salesperson.
Regular Shopify product lines are stored at 0 until staff price them. The shopper's submitted product price is not used as the quoted price.
Find the request
Step 1: Open the newest quote
Open the Quotes list and look among the newest requests. Check the customer, items and request details before opening the sale you need.
The quote page shows the customer's saved configuration.
Step 2: Read the pricing banner
Find Being priced at the top of the order page. It explains that customers see no prices and cannot sign or pay yet.
Review the requested pieces, quantities and customer notes. The banner identifies this as a request still awaiting your finished offer.
During this period, the portal, automatic emails and their PDFs contain no monetary values. Saving your internal prices alone does not release them.
Step 3: Check any customer conversation
If the customer has written, look for the conversation in the Inbox and read the question before finalizing the quote.
Use the quote itself as the record for pricing and assignment. Do not rely on a new Inbox entry to identify every incoming request.
Price and assign the quote
Step 1: Edit the line prices
Choose Edit and review each line. Set prices on regular Shopify product lines, then inspect the template lines' option prices.
A zero catalog-line price is a prompt for staff pricing, not evidence of a free product. Check every unpriced line before sending.
The quote's totals reflect the prices you enter.
Step 2: Review the configuration
Check the requested values and any required choices. A hidden staff-only option arrives with its starting value where one is configured.
Confirm those operational choices suit this sale. See Fine-tune options online for how hidden options arrive.
New storefront lines start as Delivery when no method was supplied. Review that method against the customer's request before completing the offer.
Step 3: Add the sale's charges
Review shipping, fees and discounts alongside the product prices. Use Fees, shipping and discounts for those controls.
Check the final total after changes. The quote should describe the complete offer you intend the customer to receive.
Keep delivery as a named charge or shipping line according to your store's process. Do not hide an unpriced product inside another charge.
Step 4: Assign and save
Under Sales credit, add the salesperson responsible for the quote. The first person is the primary and owns the quote. Save the changes.
The priced request now has an owner, while Being priced remains until you take an action that releases pricing.
Tell the assigned colleague through your normal team process when another person must finish it. Assignment alone is not the customer-facing quote.
Send the finished offer
Step 1: Review the customer-facing result
Check the customer, selected configuration, quantities, prices and charges once more. Confirm the quote is ready to leave the pricing stage.
The next sending action can make those prices visible. Complete the review before using it.
Step 2: Send the quote or request
Email the quote, or send the appropriate signature, payment, invoice or document request.
That action ends Being priced. The customer can now see the offer in the sent material and portal.
The removal of the pricing hold does not remove other signature or payment requirements. Check the specific request you are sending.
Step 3: Copy a sign link when needed
Use Copy Sign Link when your chosen handoff needs a link. The toast reads Link copied. The customer can now see the prices.
The banner disappears because copying the link also releases pricing.
Do not copy a link only to inspect it while prices are unfinished. Copying is itself one of the actions that ends the pricing hold.
What happens next
A qualifying status email, in-store signing or conversion to an order can also end Being priced. Review pricing before those actions too.
The customer's portal can now show the quote's money and its available signing or payment controls. Other restrictions can still prevent those actions.
Version 1 preserves the request as originally created. Use History and restore when comparing the submitted request with the offer your team prepared.
Example: Olivia's sofa and table
Example · Harlow & Finch Interiors
Price and send a mixed request
Olivia Bennett requests furniture from Harlow & Finch Interiors.
- Open her Linden Sofa in Sage Velvet and regular Shopify Arden Dining Table request.
- Review the sofa's option prices.
- Enter the unpriced table's selling price.
- Assign the quote to Sam Ortiz and save.
- Email the completed quote.
Olivia's portal now shows the priced offer and the available approval and signing action.
If something goes wrong
The request shows a failed sync
The initial save can succeed before a later step fails. Follow Fix a failed Shopify sync; Retry creates the Shopify draft.
The customer still sees Being priced
Check whether you have actually sent or released the offer, rather than only saving prices.
A price cannot be changed
Check Override prices and give discounts permission.
The customer cannot sign after sending
Use Help a stuck customer to inspect the remaining restriction.
